Operational Efficiencies and Effectiveness

Streamlining government HR recruitment processes

This Regional Government client leases buildings to other regional entities and provides maintenance workers to staff those buildings.

Client's Challenge

  • The HR department is receiving a lot of complains from internal business clients about the timelines of the recruiting process and quality of service.
  • HR employees are frustrated and overworked, with a recent re-organization leaving the distribution of work and responsibilities unclear.
  • The on-boarding and system set up of many recruits is rushed and sometimes done after start date, causing data inaccuracy and more frustration from internal business clients.

StraNexus' Approach
In order to make a judgement on a more effective resource structure, unbiased data was needed.

  • A detailed survey of staff was carried out capturing information on workload.
  • The data was then used to demonstrate the utilization of resources.
  • A number of improvement opportunities were identified and cost savings were quantified using the data from the staff surveys.  Having data to back up recommended changes – especially ones as big as reorganization of a department, make it easier to make decisions.
  • Before the reorganization was implemented a pilot was conducted to test the feasibility of recommendations.

Results

The outcomes from the project include:

  • Savings of 22% of employee effort and 20% of total recruiting costs from process improvement opportunities
  • Improved customer service due to changes to the recruiting process
  • More timely recruiting processes resulting from fewer hand-offs
  • Increased data integrity as a result of documented procedures for data entry
